How to Set Up Auto-Reply on an Instagram Business Account (and When Built-In Tools Are Not Enough)

Customers message your Instagram before they read your bio. An auto-reply tells them you are open for business, what to expect next, and where to find hours or a booking link. It does not replace a real conversation — but it prevents the “did they even see this?” feeling that kills sales in DMs.

This guide covers Instagram’s built-in options only: FAQ automations and saved replies in the Instagram professional inbox, plus Instant Reply and Away Message in Meta Business Suite. No third-party apps required. If you want copy-paste message text, start with our template list and come back here for the clicks.

Before you start: account requirements

Messaging automations are for professional Instagram accounts tied to a Facebook Page you manage. Personal accounts do not get the same business messaging tools. If menus look different, confirm you are on a Creator or Business account and that the Page connection is active in Meta Business Suite.

  • Switch to a professional account in Instagram settings if you have not already.
  • Connect or create a Facebook Page and link it to Instagram.
  • Open Meta Business Suite on desktop for the fullest automation menu (mobile apps vary by region).
  • Use the same Meta login that has access to the Instagram account you want to automate.

Option A: FAQ automations in Instagram messaging

FAQ automations let customers tap preset questions in chat and receive a saved answer. Meta typically allows a small number of FAQ slots (often described as up to four question-and-answer pairs — confirm in your inbox because limits can change). This is best for “What are your hours?” and “Where are you located?” — not for long policy essays.

  1. Open the Instagram app and go to your professional profile.
  2. Open the menu (☰) and choose Professional dashboard or Business tools (label varies).
  3. Select Messaging or Inbox tools, then Frequently asked questions or similar.
  4. Add a short customer-facing question and a clear answer with one link if needed.
  5. Save and send yourself a test DM from a personal account to see the FAQ chips appear.

Keep answers scannable: one or two sentences, then a link. If the answer depends on the product they want, point them to “reply with the item name” so a human or a smarter workflow can pick up.

Option B: Saved replies in the Instagram inbox

Saved replies are shortcuts you insert while typing — they are not sent automatically to everyone. They still save minutes per day when you answer the same pricing or shipping question dozens of times.

  1. From Instagram, open Inbox for your professional account.
  2. Start a reply thread (or open an existing conversation).
  3. Look for a shortcut or saved replies icon in the composer — often a lightning bolt or “quick replies” label.
  4. Create a new saved reply with a memorable shortcut name and the full message body.
  5. In future threads, type the shortcut to insert the block, edit if needed, then send manually.

Option C: Instant Reply and Away Message in Meta Business Suite

Meta Business Suite is where most small businesses configure true auto-replies for Instagram DMs: a welcome-style Instant Reply when someone messages you for the first time, and an Away Message outside hours you set. These apply to Instagram messaging when the Instagram account is connected to Suite — not only Facebook Page messages.

  1. Go to business.facebook.com and select the business that owns your Instagram account.
  2. Open Inbox in the left navigation.
  3. Choose Automations, Automated responses, or a similarly named section (Meta renames UI periodically).
  4. Select your Instagram account if prompted — not just the Facebook Page.
  5. Enable Instant Reply, paste your welcome text, and save.
  6. Set your business hours, then enable Away Message with hours-appropriate text.
  7. Send a test DM from another account; wait a minute in case delivery is not instant.

Instant Reply and Away Message should say different things. Instant Reply can be warm and general; Away Message should state when you will be back and whether urgent issues have an alternate channel (phone or email) if you offer one.

Troubleshooting when auto-reply is not working

Most “it stopped working” threads come down to account selection, hours, or testing from the wrong profile. Walk through this list before you assume Instagram is broken.

Where built-in Instagram automation stops

Fixed templates excel at hours, location, and single-link FAQs. They fail when every question needs context: size and color in stock, custom quotes, complaints, or “which of these three products fits my situation?” The same Instant Reply to everyone can feel robotic when a buyer already said what they want in message one.

  • No memory: Meta’s inbox shows threads, not a durable customer record across months unless you build one elsewhere.
  • No conditional logic: you cannot branch “if they mentioned shipping, send tracking policy” without a human or a higher-level system.
  • Limited FAQ slots: repeat questions beyond the cap still need manual or saved replies.
  • One voice for all: brand-sensitive moments (refunds, delays) should not be fully automated.
  • Channel split: WhatsApp and Instagram may use different tools; facts can drift if you update only one place.

When you outgrow templates, the next step is usually drafted replies grounded in your products and policies — reviewed by a person before send — plus a shared record of who the customer is. That is the model Pluk describes for Instagram and WhatsApp messaging: agents prepare, humans approve brand-sensitive messages.

A simple weekly maintenance habit

Auto-replies rot quietly. You change summer hours but the away message still mentions winter closure; you run a sold-out SKU but the FAQ still links to it. Once a week, open Automations and read every line out loud as if you were a new customer. If anything makes you wince, fix it before Monday’s message volume hits. Pair that with archiving resolved DM threads so your unread count reflects real work — inbox hygiene makes automations feel intentional instead of neglected.

Keep Instagram aligned with WhatsApp

Many small businesses answer Instagram DMs and WhatsApp chats with the same team but different apps. Auto-replies should share facts — hours, prices, links — even when the exact wording differs. WhatsApp Business uses greeting and away messages in its own settings; Instagram uses Suite. Schedule a monthly five-minute sync to update both after any policy change.

FAQ

How do I set up auto reply on an Instagram business account?
Use Meta Business Suite Inbox automations for Instant Reply and Away Message on connected Instagram professional accounts, and use Instagram messaging tools for FAQ automations and saved replies. Link a Facebook Page, confirm Instagram is selected in Suite, then test from a personal account.
How do I change or remove Instagram auto-reply?
Return to the same Automations screen in Meta Business Suite or the FAQ section in Instagram messaging, edit or toggle off Instant Reply, Away Message, or individual FAQ entries, and save. Removal is immediate for new conversations; existing threads may still show earlier automated messages.
Is Instagram auto-reply free?
Standard messaging automations included with Meta Business tools do not add a separate Meta fee for typical Instant Reply and Away Message setup. You still need a professional account and eligible region features; third-party automation products charge on their own.
Can Instagram auto-reply use AI?
Built-in tools send the text you configure. Separate AI assistants or marketing platforms may draft replies for approval, but that is outside Instagram’s default FAQ and instant reply settings. Do not assume Meta’s inbox will generate unique AI answers unless a specific Meta feature in your account says so.
What is the difference between instant reply and FAQ on Instagram?
Instant Reply typically sends once when someone first messages you. FAQ automations offer tap-to-answer questions inside the chat. Saved replies are manual shortcuts. Use instant reply for welcome, FAQ for repeat factual questions, and saved replies for high-volume manual answers.
